# Accountant

> The Accountant triages invoice mail, summarizes expenses, and drafts invoices and reminders. It never charges or sends without your Approve.

The Accountant is the assistant that keeps your books tidy. It reads the invoice and receipt mail, sorts expenses, summarizes a month, drafts the invoice you need to send, and writes the polite reminder for the one that is overdue.

## What it does

- Sort invoice, receipt, and expense email so nothing gets lost.
- Pull the key details out of an invoice into a clean table.
- Categorize expenses and flag unusual spend.
- Summarize a finance folder or a month of spending.
- Draft invoices and payment reminders.
- Build a month-end checklist for you and your advisor.
- Analyze the finances you provide and say what changed. It is not a licensed accountant, and it never moves money.

## Skills

| Skill | What it does, in plain words |
| --- | --- |
| Monthly expense summary | The first win. Drafts a month-end recap from receipts, invoices, statements, or a pasted export. |
| Triage invoice email | Reads and sorts invoice, receipt, and expense mail. It only reads: nothing is sent. |
| Extract invoice fields | Pulls vendor, number, dates, amounts, tax line, currency, and terms into a clean table. |
| Categorize expenses | Sorts expenses or card lines into bookkeeping categories, with a confidence for each line. |
| Spend anomaly note | Flags spikes, duplicate charges, new vendors, and forgotten recurring charges in a short note. |
| Summarize a finance folder | Lists and summarizes a folder of invoices, statements, and budgets without changing it. |
| Draft an invoice | Prepares an invoice from the details you give, as a preview, a document, or an email draft. |
| Draft a payment reminder | Writes a polite follow-up about an unpaid invoice as a draft. |
| Bookkeeping checklist | Builds a month-end or quarter-end list: receipts collected, invoices sent and paid, items to reconcile, documents for your advisor. |
| Analyze finances | Reads the documents you provide, says what changed, and names what to look at next. |

## Example goals

- Close the month: summarize spending and list what is missing.
- Chase an overdue invoice politely.
- Understand why spending jumped last month.
- Prepare a clean folder for your advisor.

## Prompts

```prompt title="Summarize last month"
Accountant, draft an expense summary for [month]. Use the receipts and invoices in my inbox and in [folder]. Show totals by category and anything that looks unusual.
```

```prompt title="Triage invoice email"
Accountant, go through the invoice and receipt emails from the last [number] days. List each with the vendor, the date, and whether it needs action. Send nothing.
```

```prompt title="Extract an invoice"
Accountant, read this invoice and put the vendor, number, dates, amounts, tax line, and terms in a table: [attach or paste invoice].
```

```prompt title="Categorize expenses"
Accountant, sort these expenses into bookkeeping categories and tell me how sure you are about each line: [paste or attach list].
```

```prompt title="Explain a spending jump"
Accountant, spending on [category or vendor] rose in [month]. Look for spikes, duplicate charges, new vendors, and forgotten recurring charges, and write me a short note.
```

```prompt title="Draft an invoice"
Accountant, draft an invoice for [client] for [work], due on [date]. Show me the preview. Do not send it.
```

```prompt title="Chase a late payment"
Accountant, draft a polite reminder to [client] about invoice [number], which was due on [date]. Keep it friendly and short, and leave it as a draft.
```

```prompt title="Prepare for the advisor"
Accountant, build a month-end checklist for [month]: receipts to collect, invoices to send or chase, items to reconcile, and documents to hand to my advisor.
```

## What it never does

> [!IMPORTANT]
> The Accountant never charges a customer and never sends an email on its own. You give the final go on a draft, and a charge names the exact amount on the Approve card first.

It prepares and organizes your records. It does not replace your advisor, and it does not file taxes.
